Clinic Policies & Financial Agreement
Please read the following clinic and financial policies carefully before scheduling or receiving services from Northland Child Psychiatry.
Dr. Brayden Willis provides direct-payment, fee-for-service psychiatric consultations and treatment through Northland Child Psychiatry, LLC.
Fees & Payment Policy
Northland Child Psychiatry is a self-pay practice and does not participate as an in-network provider with insurance companies, including Medicare or Medicaid.
Payment is due in full when the appointment is booked.
$200 is a non-refundable deposit.Payment is due before the scheduled appointment.
May be required in some circumstances and will be discussed with the patient beforehand.
New Patient Evaluation Payment
The full $400 evaluation fee is collected at booking. Half of that amount, $200, is considered a non-refundable deposit regardless of whether the appointment is later cancelled.
If the appointment is cancelled or rescheduled more than 24 hours before the scheduled time, the remaining $200 will be refunded.
Late cancellations and missed appointments require payment of the full appointment fee and are not eligible for a refund.
Accepted Payment Methods
Payment may be made by credit card, debit card, HSA account, or cash.
Cash payments must be received by the clinic no later than the day before the scheduled appointment.
Active Payment Method Required
An active payment method must remain on file with Northland Child Psychiatry.
The payment method on file may be used for:
- Automatic payment on the day of the appointment, unless another payment arrangement is requested at least one day beforehand.
- Telemedicine appointments when the patient is not physically present in the office.
- Missed appointments and late cancellations.
- Administrative fees for letters, forms, and other administrative documents.
Cancellations, Missed Appointments & Late Arrivals
Cancellation Policy
If you need to change an appointment, please provide at least 24 hours' notice so the appointment time can potentially be offered to another patient.
Cancellations made less than 24 hours before the appointment are considered late cancellations, and the patient is responsible for the full session fee.
An appointment may be rescheduled after the balance associated with the missed or late-cancelled appointment has been paid.
Refunds are not issued for services that have already been rendered.
Missed Appointments
Patients who do not attend a scheduled appointment and have not cancelled in advance are responsible for the full fee associated with that appointment.
Late Arrivals
A patient arriving 15 minutes or more after the scheduled appointment time is considered a late arrival.
The appointment will not be honored and will be treated as a no-show. The fee for the scheduled service may be charged to the active payment method on file.
Telepsychiatry Appointment Procedures
Please prepare for telemedicine appointments in the same way you would prepare for an in-person visit.
Join 5–10 Minutes Early
For telemedicine appointments, patients should enter the virtual appointment using the link provided in the email or text reminder approximately five to ten minutes before the scheduled time.
The Same Attendance Policies Apply
Cancellation, no-show, and late-arrival policies apply equally to in-person and telemedicine appointments.
Schedule II Medication Follow-Up
Patients prescribed Schedule II controlled medications are required to be seen at least once every 90 days.
If a patient requests a prescription outside of the 90-day follow-up window, Northland Child Psychiatry may provide one courtesy prescription provided that the patient schedules an appointment and is informed of the 90-day standard-of-care requirement.
Fee for a one-month courtesy prescription.
Patient Financial & Practice Agreement
Termination of Care
The patient acknowledges that Dr. Willis and Northland Child Psychiatry, LLC may terminate the patient relationship at Dr. Willis' discretion.
Three missed appointments or no-shows will result in immediate termination from the practice.
Financial Responsibility
The patient agrees to pay all applicable fees for services and treatment provided.
Service fees may be changed by Northland Child Psychiatry with notice to the patient.
If action is required to collect an outstanding balance, the patient agrees to be responsible for applicable collection-related costs and expenses, including court costs, attorney fees, and interest.
Notice of Non-Coverage of Services
Northland Child Psychiatry is a self-pay-only practice. The practice and Dr. Willis do not participate with commercial, state, or federal insurance programs, including Medicare and Medicaid.
Payment in full is therefore required for each visit according to the financial policy described above.
Northland Child Psychiatry and Dr. Willis do not guarantee insurance coverage or reimbursement for services, procedures, medications, laboratory testing, or other medically appropriate treatment that may be provided or ordered.
The patient remains financially responsible for all costs even if an insurance company determines that a service is excluded, not covered, unreasonable, or medically unnecessary.
Maintain Health Insurance Coverage
Patients are advised to obtain and maintain full health insurance coverage.
Services provided by Dr. Willis and Northland Child Psychiatry are not intended to replace current or future health insurance coverage.
Medicare, Medicaid & Federal Claims
Claims for services provided or ordered by Northland Child Psychiatry or Dr. Willis should not be submitted to Medicare, Medicaid, or another federal payer.
Such claims may not be reimbursed.
